Who we are

Check-In by Ascendvent is operated by Ascendvent LLC, a United States company. You can reach us at admin@ascendvent.life.

What data we collect

• Account data — your email address and name when you sign up as a coach.
• Client data you enter — names, email addresses, goals, and action items you add for your coaching clients.
• Client responses — free-text responses submitted by your clients via check-in links.
• Analytics data — if you consent to cookies, we use Google Analytics 4 (GA4) on our landing page. GA4 collects session information, page paths, and an anonymised IP address. GA4 data is processed by Google and governed by Google's Privacy Policy.

How we use your data

• To provide the Check-In service — sending check-ins, storing responses, and generating pre-session briefs.
• To operate and improve the product (analytics, where consent is given).
• We do not sell your data to third parties.
• We do not use your clients' data for any purpose other than delivering the service to you.

Cookies

We use a single analytics cookie (GA4) on our landing page, set only after you give consent. The cookie stores an anonymised visitor identifier and expires after 2 years. No cookies are set in the coach app. You can withdraw consent at any time by clearing your browser cookies.

Data retention

Your data is retained while your account is active. When you delete your account, all associated data — including your coaching clients, check-in history, and responses — is permanently deleted. You can delete your account from the Settings page.

Third-party data processors

We use the following third-party services to operate Check-In. Each acts as a data sub-processor under our instructions:

• Anthropic — we send client response text and the client's first name to Anthropic's API to generate pre-session briefs. No client email address is sent. Anthropic processes this data to return the generated text and does not use it to train its models. See Anthropic's Privacy Policy.
• Supabase — our database and authentication provider. All coach and client data is stored in Supabase. See Supabase's Privacy Policy.
• Resend — our email delivery provider. Client name and email address are passed to Resend to deliver check-in emails. See Resend's Privacy Policy.
• Google Analytics 4 — used on our landing page only, and only after cookie consent is given. See Google's Privacy Policy.

Coach as data controller

When you use Check-In by Ascendvent, you enter personal data about your coaching clients (name, email, goals). Under UK GDPR and US privacy law, you are the data controllerfor your clients' information — you decide what data to collect and are responsible for obtaining your clients' consent to process their data.

Ascendvent LLC acts as your data processor — we process client data solely to provide the service you have contracted with us.

Your rights

• Right to access — you can view all data you have entered by using the app.
• Right to delete— you can delete your account and all associated data via Settings > Danger Zone.
• Right to erasure (UK GDPR) — you can request erasure of your data by emailing admin@ascendvent.life.
• California residents — you have the right to know what data we collect and to request deletion under CCPA. Contact us at the email above.

Governing law

This policy is governed by the laws of the United States. Where you are located in the United Kingdom, UK GDPR also applies and we respect your rights under that legislation.
